NOTE: The deadline for submissions is Friday, April 11, 2008. Please
do not fill out this form after that date without prior instruction to do so
from the Program Committee.
This form is for submission of pre-organized panel proposals. All individuals listed on this form are automatically registered for the conference, provided the panel is accepted. No further registration is necessary for presenters, however, all presenters must pay their conference fees before August 15.

All those participating in panels on the conference program are required
to hold current membership in CESS. Conference registration fees for current

Panel Submission Guidelines:
- The panel organizer (or co-organizers) is responsible for ensuring that
information provided in the form below is complete and for ongoing communication with the conference committee regarding changes to the panel. Incomplete panels will be given a lower ranking, so please submit as complete a panel as possible.
- A regular panel usually consists of three or four paper presenters,
plus a chair and a discussant. The standard format is
one hour and 45 minutes per panel, which allows four 15-minute paper presentations,
followed by 15 minutes for the discussant and 30 minutes for general discussion.
If the panel includes three paper presentations, each speaker will have 20
minutes. The chair, in consulation with the panelists, may allocate
more or less time for presentations versus discussion
- A roundtable panel usually consists of four to six presenters,
plus a chair or moderator and is usually less formal than a
regular panel. Participants contribute comments on a proposed theme rather
than paper presentations. The conference sessions will last one hour
and 45 minutes, which allows five 10-12 minute presentations, followed by
30-45 minutes for general discussion. Generally roundtables are suitable
for topics connected with current events, issues relating to teaching, and
applied topics.
- The panel organizer must obtain confirmation of participation of people
to serve in at least three of the roles on the panel -- incomplete panels will receive less favorable consideration by the Program Committee. If you submit a panel with fewer than three papers, your panel, if accepted, may be merged with another or otherwise altered by the Program Committe, or your panel may be wait-listed until it is complete.
- The panel organizer should make sure that participants are aware of the
need to pay registration fees for the conference and become CESS members in order to participate.
Each participant should make their own payment for registration as indicated
at the bottom of this form by August 15.
- For roundtable submissions, abstracts are not required, but a description
of the theme and justification for use of the roundtable format should be
provided by the organizer. Discussants are not required for roundtables; please leave this part of the form blank.
- Roundtable proposals may be accepted well after the deadline in cases where
they respond to current developments.
General Guidelines:
- Please note that we expect a strong competition in the proposal selection
process, as there will probably be many more proposals that we can accommodate
in the program. Since the selection process is based on a blind evaluation
of proposals, we strongly encourage you to prepare your proposal carefully
to do well in the competition.
- We advise you to prepare the information required for the proposal before
putting it into this webform. Care is required, especially when preparing
the paper abstract and brief biographical statements, and it will be easiest to
prepare these in a text document and then copy and paste them into the form
below.
- Please fill in the form carefully. This information goes directly
into the registration database, mailing list, program, and publication of
abstracts, and should be submitted in publishable form. Please do
not use all capital letters or all small letters (e.g., "KELLY
SMITH" or "kelly smith"), and do not provide partial information
such as addresses without postal codes.
- If the proposal/abstract are written without proper care or not in conformance
with the criteria for a conference abstract, it may be rejected, or, at the
discretion of the program committee, revisions may be required. For
specifics on what constitutes a suitable abstract, please see our Guidelines
for Writing Abstracts.
- By submitting a proposal, you are confirming your commitment to participate
in the conference if your proposal is accepted, and that you will attend unless
prevented to do so by circumstances out of your control. Failure to
meet this commitment may have consequences for your ability to participate
in future CESS activities. The same applies for those who agree to participate
in the panel you organize, and it is the organizer's responsibility to make
sure that all the participants he/she includes are informed of this.
- The abstracts should be 200-300 words, and must not exceed 300 words.
The abstracts of confirmed conference participants will be published at the
time of the conference. (Abstracts are published only of papers to be
presented by their author at the conference, so no one should suppose that
they can have their abstract published without participating in the conference).
- The information you provide here in general should be in English/Latin letters,
though the submission forms will accommodate special characters in standard
encodings for use in specialized terms.
- It is important that you do not use formatting (such as italics,
bold face, tabs or paragraph indents), as these will be lost through the webform.
To indicate use of italics, surround the text for italicization with the sequences
<i> to start and </i> to end (for example, to indicate "zikr"
in italics, you may write "<i>zikr</i>").
- The brief biographical statement is required for the program selection committee
and may be used in introducing panelists. To ensure that the it is easy
to read, please use no formatting (tabs, indents, bold face, etc.), which
will be lost in the webform. Please do not cut and paste
your complete CV into the form - it may cause some of your information to
be lost. Please simply write a 100-200 word narrative
describing the educational and professional background of each of the panelists.
- The institutional affiliation you indicate here will be listed in the program
and on the name tag, which you will receive on registration, and which you
should wear throughout the conference. If your affiliation changes before
the conference, please be sure to notify the Conference Committee as early
as possible.
- All conference participants are required to provide an e-mail address where they may be contacted. If you anticipate that email access will be a problem at some point before the conference, please supply us with an alternate email address, as well. If the panel organizer involves panelists
who do not have their own e-mail, the organizer assumes the responsibility
to relay communcations from the Conference Committee to such panelists.
- Be sure to provide the contact information which will allow the Conference
Committee to contact you throughout the time until the conference. We
need this to send notification of acceptance. If your proposal is accepted,
you will be required to confirm that you will definitely participate in the
conference in order for your roundtable to be included in the program.
If your contact information -- especially your e-mail address -- should change
after you submit the proposal submission form, be sure to notify the Conference
Committee without delay. If you fail to respond to e-mail that we send
you (or your e-mail address goes bad), then you may be dropped from the program.
- Limits on submissions and participation: An individual may not present more than one paper at the conference, including roundtable presentations. If a person has a paper included on a pre-organized panel and also submits an individual paper, the pre-organized panel takes precedence and if it is accepted, the other paper proposal will not be considered. An individual may not be a presenter on more than one panel, may not serve in two roles (e.g. presenter and discussant) on any one panel, or serve in any role (e.g. presenter on one panel and chair of another) on more than two panels without special permission from the Conference Committee.
- The deadline for submissions is April 11, 2008. Submissions after that date will be put on a waiting list and will be accepted at the discretion of the Conference Committee.
- Pre-registration and membership in CESS: anyone presenting a paper, whether on a regular panel or on a roundtable, must both join CESS and pre-pay registration fees for the conference by Friday, August 15. Chairs and discussants generally are required to be CESS members, as well, but are not required to pre-register. Exceptions will be made at the discretion of the Conference Committee (for example, in the case of chairs who will only be attending the panel on which they are serving).
- No-shows: If you submit a paper but fail to attend the conference without notifying the Conference Committee by Friday, August 15 you may be excluded from submitting a proposal for the next two years’ conferences and, if you have pre-registered, your fees will not be refunded. Papers may not be read at the conference on behalf of someone who is not attending.
- Because late withdrawals are disruptive to the conference organization and may prevent another would-be participant from coming in the place set aside for you, CESS rules stipulate that those who withdraw after August 1 without a good justification are barred from participating in the conference the following year.
- Paper presentation: In general, paper presentations will be strictly limited to 15 minutes (20 minutes if the panel has three presenters instead of four). As this does not allow time to read an entire academic paper, presenters should be prepared to give only a summary. Panel chairs are responsible for enforcing strict time limits to ensure time for discussion. For detailed information paper presentation, see our Guidelines for Paper Presentation webpage.
- Working drafts of all papers should be submitted to the panel chair and discussant by Friday, August 29. This is essential to allow the discussant and chair to fulfill their role, which requires them to read the papers in advance. Failing to submit the paper by the deadline will prevent the discussant and chair from commenting adequately on the paper, which creates an embarrassing situation for the paper presenter. The working draft of the paper may be without footnotes or references, but should contain a complete version of the paper's argument and information upon which it is based.
- The Conference Committee will make an effort to honor participants' requests for audio-visual equipment, within the constraints of the conference budget. Your equipment request should be included in your proposal -- any necessary changes to your request must be received by Friday, August 15.
- Our policy is to be inclusive. For this reason, we offer some flexibility
with deadlines, if justified. We also allow for electronic submission
of proposals (which most similar conference do not) to allow for the broadest
possible participation. However, due to space and time constraints,
and the steady increase in CESS conference participation, we anticipate greater
selectivity in the proposal screening process than in the past. For
this reason, we urge submitters to give close attention to the quality of
their proposal, and possibly to have it checked by a colleague who could improve
the language or conception of the roundtable description.

Important note: Be sure that the contact information is adequate --
especially the e-mail addresses -- to allow us to keep in contact with all panel
participants in advance of the conference. If there are address changes
following the proposal submission, it is essential that we are informed as soon
as possible. We will need to contact all participants for confirmation
of participation and membership.
Registration Fees:
Each conference participant is required to pre-pay their registration fee. The fee is reduced for CESS members, for Georgetown University students, and for those who pre-register before the pre-payment deadline --August 15. The level of the fee also depends on your CESS membership dues category (with some members being entitled to reduced dues -- see the CESS Membership Form for details).
Payment of registration fees IS REQUIRED for all attending the conference, and cover a welcoming reception on Thursday and the conference dinner on Friday. Fees for 2008 are as follows:

Panel participants may submit the registration fee at the same time as submitting this form, or at any time before the pre-payment deadline of August 15 to be entitled to the pre-payment discount. We accept payment by: 1) cash (only at the conference), 2) check or money order (if not from a US bank, please contact us to find out what form is acceptable from your country), 3) credit card (see the Credit Card Payment Form). NOTE: CESS does not have funds to support the costs of conference participation, and does not waive the conference fee for participants who cannot afford it. Paper presenters, other panelists, and conference attendees are required to pay the registration fee, and additionally, those included on the program (paper presenters, roundtable panelists, discussants, etc.) are required to pre-pay their registration fee and be CESS members in good standing -- i.e., to have paid any dues they owe. Participants must obtain their own funding -- from personal resources, their own institutions, or grant-giving organizations which provide conference travel grants.
